What syncs with Xero
Synchronisation is two-way but not symmetrical: BMS is the source for the documents it raises, Xero is the source for the accounting reference data and for payment.
Pushed to Xero
| From BMS | Origin |
|---|---|
| Sales invoices | Billing, Service and Sales |
| Purchase invoices | Stock, including those generated by agent reconciliations |
| Customers | As contacts |
| Suppliers | As contacts |
| Journals | Journal entries |
Pulled from Xero
| Into BMS | Used for |
|---|---|
| Ledger accounts | The chart of accounts — compared and imported in Admin → Accounts |
| Tax rates | Compared and imported in Admin → Tax Rates |
| Tracking categories | Stamped onto BMS records so Xero reporting dimensions line up |
| Payment status | Feeds the debtors view of what has been paid |
How records stay matched
Each synced record keeps a cross-reference linking the BMS record to its Xero counterpart, recording what kind of thing it is — invoice, line item, credit note, contact, account, tax rate or journal — and when it was last pulled. That cross-reference is also what provides deep links straight into Xero.
When it runs
Sync runs in the background rather than at the moment you save. Invoices can also be pushed manually, and a failed push can be rescheduled.
Note
A document existing in BMS does not mean it is in Xero yet. The gap is normal and usually short. If a document has not appeared in Xero at all, check that the organisation still shows Authenticated! — an expired or removed authorisation stops the push silently from the user's point of view.
