Progress A Visit

Progress a visit through to cleared

Day-to-day service work is done on the job screen, not the scheduler: you open the job and walk its current activity forward as the visit happens.

Before you start

The job must be open and have a current activity, and that activity must be assigned — Progress Activity will not offer the next step otherwise.

Steps

  1. Go to Service → Jobs and open the job. The highest-numbered activity tab is the live one.
  2. Click the caret beside Progress Activity. The menu lists only the moves that are legal from where the activity is now.
  3. Choose the next state as the visit reaches it — Allocated when it is assigned, then Scheduled, In Transit, Arrived, and Cleared when the engineer is finished.
  4. Repeat as the visit moves. You do not have to pass through every state: a visit can be cleared from Allocated, Scheduled, In Transit or Arrived, and an engineer already on site can go from Allocated straight to Arrived.
  5. When the visit is cleared and its invoicing is settled, progress it to Completed.

If the move you want is not offered

The menu is the authority on what is possible. A missing option means one of:

  • The activity is not where you think. Check the badge, not your memory of it.
  • Parts are outstanding. An activity on backorder cannot be allocated or scheduled until the backorder is complete or marked not required.
  • Invoicing is outstanding. Cleared will not progress to Completed until invoicing is complete or not required.

If the fault is not fixed

Do not raise a second job. Add another activity to the same job — the customer reported one problem, and the job is that problem. See How jobs and activities fit together.
