The Account Screen

Published documentation for BMS Cloud.

The account screen

CRM → Accounts, then any account.

The header

The account name, then its type and status — Account | Suspect — the assigned person, any industry classification, its sales-area code, and Add Tags.

The summary pane

Group Fields
Account Info ABN, Phone, Address, Email, Website URL, KDM, Sales Area, Geo Area, Industry, Business Size
Products Brands, Categories and Models the account has
System Info Created, Last Updated

KDM is the key decision maker — the one contact who matters on this account. It is set from the account's contacts.

Products is fleet intelligence: what equipment this account already has, by brand, category and model. It is what makes an account targetable — an account running a competitor's machines nearing end of life is the reason to call.

Activities

New Activity logs one. Each shows its type and result — Call with ⟨account⟩ — Not Interested — any note, who logged it and when.

An activity raised by working a task is stamped via task '⟨task name⟩', which is how you tell a call made during a campaign from one made off someone's own initiative.

Logging one takes an Activity Type (Call, Meeting, Email, Site Visit, Other), a Date — today by default, adjustable when recording something that already happened — the Contact, and free-text Notes for what came of it. Saved activities are visible immediately to everyone with access to the account.

Activities can be edited afterwards from the timeline.

Warning

Deleting an activity is permanent. There is no recovery once confirmed, and the timeline is the account's relationship history — correct a wrong entry by editing it rather than deleting and re-adding.

The accounts list

Column Description
Account The company
Suburb, Postcode Where it is
Account Status suspect, qualified, prospect, customer
Latest Activity — Type What the last contact was, e.g. Call
Latest Activity — Result How it went, e.g. Not Interested, Delete Contact
Latest Activity — Date When

Latest Activity is three columns, not one, and it is what makes the list workable: it answers "when did anyone last talk to these people, and what happened" without opening anything.

Contacts have their own index

Accounts are companies; contacts are the people at them. CRM → Contacts lists every person in the database, and Contact Search at the top of the left menu is the quickest way to one by name. That index is large enough that the filter is usually necessary — see Getting around BMS.

View Per Contact on the accounts index switches to a contact-level list. New Account, View Archived Accounts, Attach/Detach Tags and Export sit above it, and Public Filters carry shared saved views.
