Job and activity statuses

A job and its activities carry separate states. The job says how far the customer's problem has got; the activity says how a particular visit is going.

Job statuses

Status	Meaning
Requested	Raised but not yet approved into the queue
Open	Live work — the normal state of a job being handled
On Hold	Held. A job raised against an on-hold customer enters this state on creation
Cleared	Work finished, awaiting invoicing
Invoiced	Invoiced
Completed	Finished and closed
Cancelled	Abandoned

Transitions

Cancel	→ Cancelled

Cancel is refused while any activity on the job is closed. Once a visit has been completed there is a record of work done, and the job has to be resolved rather than abandoned.

Activity states

Each activity carries its own state, shown as a badge on the activity and in the Jobs list Status column.

Raised	Created, not yet allocated to anyone
Allocated	Assigned to an engineer
Scheduled	Placed in the day's work
In Transit	Engineer on the way
Arrived	Engineer on site
Cleared	Visit finished
Invoiced	Invoiced
Completed	Closed
Cancelled	Abandoned

The normal path runs straight down that list:

Raised → Allocated → Scheduled → In Transit → Arrived → Cleared → Completed

Not every visit passes through every state. An engineer already on site can go from Allocated straight to Arrived, and a visit can be cleared from Allocated, Scheduled, In Transit or Arrived.

Progressing an activity

Progress Activity on the job screen moves the current activity along. Its dropdown only ever offers the transitions that are legal from the current state — an activity sitting at Raised offers Progress to Allocated and nothing else. If the option you expect is missing, the activity is not where you think it is, or a condition below is unmet.

On Backorder → Allocated or Scheduled	The backorder must be complete or not required
Cleared → Completed	Invoicing must be complete or not required
Any active state → On Backorder	The activity must actually require parts
Completed → Cleared (void)	Allowed, and handled differently once invoicing is involved

Deallocating returns an Allocated or Scheduled activity to whichever state it came from: On Backorder if parts are outstanding, Raised if none are needed.

Reading them together

Job	Activity	Means
Open	Raised	The job is live; the current visit has not been started
Open	Completed	That visit is done; the job is not finished — expect another activity
Cleared	Completed	Work finished, waiting to be invoiced

Note

In reports and exports, job status is stored as a number, not a name: Requested 1, Open 10, On Hold 20, Cleared 70, Invoiced 80, Completed 90, Cancelled 99. A query written against the names returns nothing.
