Receive goods into a warehouse
Stock only becomes available once it has been received. Until then it is on a receipt, not on the shelf.
Before you start
You need the delivery in front of you and the supplier's paperwork. Know which warehouse is receiving — it drives where the stock lands and who can then use it.
Steps
- Go to Stock → Receipts. It opens on Draft.
- Open the receipt for the delivery, or create one.
- Check Receipt Location is the warehouse actually taking the goods.
- Set the Invoice Date from the supplier's invoice, not today's date — it is what the receipt is matched against later.
- Count the delivery in against the receipt lines. The receipt moves to Receiving while you do.
- Complete the receipt. Stock becomes available in that warehouse at that point, and not before.
If the goods came from another warehouse
That is a transfer, not a standard receipt, and it appears here with a TR-
reference and type transfer. It may sit as Expected until it physically
arrives. Receive it the same way — the stock is in transit and on nobody's shelf
until you do.
If the delivery is short
Receive what actually arrived. Do not complete a receipt for quantities you did not get in order to make the paperwork match; the shortfall is a real fact and the receipt is where it belongs. Correct any resulting discrepancy deliberately, with an adjustment or a stocktake.
