Settings

Published documentation for BMS Cloud.

Settings

Admin → Settings, then a category from the top navigation. Values are per BMS instance, so currency, timezone, tax rates and GL accounts reflect your region.

General

Setting Controls
Default Currency Currency code for all transactions
Accounting Integration The connected package: Xero, QuickBooks, BMS Debtors, or None
Default Time Zone Date and time display
Default Working Hours The template used for scheduling
Calendar Holidays Public holidays used in scheduling calculations
Login Restrictions Per-user access rules by business hours and IP range
Meter Import Sources Automated meter-reading CSV imports by vendor
Tracking Category 1 / 2 Codes mapped to the accounting package's tracking categories

Accounting Integration is the master switch for Xero. Set to anything else and no Xero sync runs, however well an organisation is authorised — see Where Xero touches BMS.

Meter Import Sources covers the vendor feeds that bring readings in without anyone typing them: Ricoh, Konica Minolta, Kyocera, OKI, PrintAudit and Streamline NX among them. An asset whose readings arrive this way shows an import source rather than a person.

Import Settings / Export Settings move a whole settings configuration between BMS instances.

Email

Two halves: the addresses mail is sent from, and the templates it is sent with.

Address setting Used for
Default From Email General outbound sender
Default BCC Email BCC'd on everything
Testing Email Redirects all outbound mail to this address
System Messages From Password resets and system notifications
On Hold Email Notified when a customer is placed on hold
Inbox Notifications Email Inbox notifications
Purchase Order From / Sales Order From / Invoice From / Invoice BCC Per-document senders

Warning

Testing Email silently redirects every outbound email in the system. It is there so a test instance cannot mail real customers — and if it is set on a live instance, nobody receives anything and nothing reports an error. Clear it to restore normal delivery. Check it first whenever "customers aren't getting our emails".

Subject and content templates exist for Invoices, Meter Requests, Service Jobs, Completed Job Reports, Service Job Backorders, Debtors Statements, CRM Opportunities and Sales Deal Backorders.

Customer

Reference data classifying CRM accounts, on three tabs — Sales Areas, Geo Areas and Industries — each with Add, Import and Export.

The others

Product, Service and Account settings follow the same shape: reference data and per-area behaviour, importable and exportable.
